Step 4 - Create or Refine your Email Sales Campaigns

One of the most important parts of reaching out to sales leads via email is--you guessed it, the emails. The quality and content of your email outreach campaign, from the subject lines, to the body and tone of each message, means the difference between great open and click rates, and bad open or click-through rates.

How Salesbot Makes It Easy

Salesbot uses advanced generative AI to create a starter email campaign for you, automatically, when you create a sales project (back from Step 1). This way, all you need to do is customize the email messaging, instead of writing it from scratch. Of course, if you have your own amazing email messaging you'd prefer to use, you can do that too.

Creating or Editing Email Templates

If you'd prefer to create your own email template, rather than using our AI-generated ones, the process is similar. Head to the 'Campaigns' section via the left side navigation, then either click the "New Campaign" button in the upper right, or, click on an existing email campaign name in the list of campaigns.

New Campaign

If you'd like to create a new campaign, click 'New Campaign', and then choose a descriptive name. Then enter either freeform text, or, a URL for a marketing website you'd like Salesbot to use when automatically creating a campaign. Or, leave the bottom section blank to use your own messaging.

Edit An Existing Campaign

To edit an existing email campaign/template, click on the template you'd like to edit. In our example, we're going to search for the recruiting template, created in Step 1, and edit that.

Clicking on the email template will let you edit the email template/drips, subject line, everything about it! There's a lot going on here, so lets break it down.

Overview of the Email Campaign Template Editor:

At the top, you've got the email campaign name, which you can click to edit/save.

Below that, we show you each 'drip' or email of the overall sequence. Think of a "drip" as an individual email making up a larger campaign. Salesbot sends each drip automatically, as long as the sales lead has NOT replied to a prior email in the same campaign/sequence.

Each drip has similar features, including a subject, body, and a time to send. This time to send, at least for the first drip, can be in the future (scheduled on a specific date and time) or immediately. Immediately is the default.

In this drip example below, the time frame is set to send immediately, the subject is "Boost Your Sales with AI-powered Automation", and the body is obvious. You'll also see several lead variables, such as {{prospect_firstname}}, etc. These are automatically replaced by Salesbot at the time we send the outreach campaign, so don't worry about typing each lead user's name or your name.

There are a few other sales lead variables you can use in your outreach email, click on the 'More' menu to see and start using them.

You've also got some standard customization options in the bottom right such as basic font styling, links, etc.

Salesbot doesn't currently support email signatures automatically from Outlook or Gmail, but you can paste your email signature into the body/footer area of each drip, like so:

If you're using images in your email signature or included in email drips, be careful--including images in emails can negatively impact your email deliverability rates!

Second and Subsequent Email Drips

Follow-up drips have a few different options.

Choosing 'As Reply' sends the chosen drip as a follow-up reply to the prior drip, instead of coming as a new email. You can also specify the number of days between the 1st and 2nd (or 2nd and 3rd, and so on) email drips, as well as the time to send the follow-up drip. Note that all times are scheduled as being sent from the time zone you are sending FROM. So, if you're in PT, and you choose 3PM, it will send at 3PM PT.

Note that Salesbot will always attempt to send all email drips at the time you select, however, if you choose to send a high-volume of outreach, some emails may go out slightly later (we slightly delay sending between each email to protect your email domain).

With Salesbot, you can add as many email drips in a campaign/sequence you'd like, up to 10, and space them as many days apart as you'd like (up to 256 days apart, but that's a bit crazy, isn't it?) Add drips, remove drips, customize the campaign to fit your exact needs with Salesbot!

💡Pro-Tips: Salesbot supports click-link tracking! Add in your links to your marketing website, application, meeting link or whitepaper link and we'll provide click-through rates! Note that some email readers MAY remove links from text, so we can't always guarantee that your links will come across to readers as clickable. Also keep in mind that including links in cold emails may send your outreach directly into spam. Experiment with different emails or sequences!

Generative AI Editing

With Salesbot, you don't have to come up with your own email content--you can use our built-in generative AI editing system built on Open AI. Just type using natural language to refine and rewrite your content, or, use one of the sample prompt quick buttons to instantly regenerate your content. It's like ChatGPT, but specifically tailored to sales!

After editing an email campaign, either using AI or by typing your own content, just click 'Save' at the upper right to save your campaign.
